Thank you for choosing SchoolMentor. We aim to provide reliable and useful digital management solutions for schools, colleges, coaching centers, training institutes, and other educational organizations.

This Refund & Returns Policy explains the terms applicable to subscriptions, services, add-ons, and other paid offerings available through SchoolMentor.in.

Because SchoolMentor provides primarily digital services and software subscriptions, physical product returns generally do not apply.


1. Digital Services

SchoolMentor provides digital services, including:

  • Institution management software
  • Student management
  • Attendance management
  • Fees management
  • Examination and results management
  • Reports and analytics
  • Multi-institute management
  • Premium features
  • Software subscriptions
  • Optional add-on services
  • Custom services and integrations

As these are digital services, there is generally no physical product to return.


2. Free Plan

SchoolMentor may provide a free plan or free trial for eligible institutions.

No refund is applicable to the Free Plan because no subscription payment has been made.

If you upgrade from a Free Plan to a paid plan, the paid subscription will be governed by the applicable refund terms below.


3. Paid Subscription Plans

SchoolMentor may offer subscription plans such as:

  • Starter
  • Growth
  • Professional
  • Enterprise

Subscription fees are generally payable in advance for the selected subscription period.

Before completing payment, customers should review:

  • Selected plan
  • Student capacity
  • Features
  • Subscription period
  • Applicable taxes
  • Additional charges, if any

Once payment has been successfully processed, the subscription may become active immediately.


4. Refund Eligibility

We may consider refund requests in limited circumstances, including:

Duplicate Payment

If the same subscription or transaction has been charged more than once due to a technical or payment-processing issue, the duplicate amount may be refunded after verification.

Incorrect Payment

If a payment was made incorrectly and the issue is reported promptly, SchoolMentor may review the transaction and determine whether a refund is appropriate.

Technical Service Issue

If a significant technical issue prevents the customer from accessing a paid service for an extended period and the issue cannot reasonably be resolved, SchoolMentor may consider an appropriate refund or service adjustment.

Unauthorized Transaction

If you believe a transaction was made without authorization, contact us as soon as possible so that we can investigate the transaction.


5. Non-Refundable Situations

Unless otherwise required by applicable law, subscription payments may generally be non-refundable in circumstances such as:

  • Change of mind after purchase
  • Failure to use the platform
  • Lack of usage by the institution
  • Failure to configure the account after purchase
  • Failure to use available features
  • Expiration of the subscription period
  • Failure to cancel before renewal
  • Temporary suspension caused by violation of our Terms & Conditions
  • Customer’s decision to discontinue using the platform
  • Incorrect selection of a plan where the service has already been activated

We encourage customers to review the available plans and request a demonstration before purchasing if they are unsure about suitability.


6. Cancellation of Subscription

Customers may request cancellation of their subscription.

Cancellation generally means that the subscription will not renew for the next billing period.

Unless otherwise stated in your subscription agreement:

Cancellation does not automatically result in a refund for the unused portion of an already-paid subscription period.

Your access may continue until the end of the current paid subscription period, subject to the applicable plan and account status.


7. Automatic Renewal

If SchoolMentor offers automatic subscription renewal, the customer may be charged according to the selected renewal cycle.

Customers are responsible for reviewing their subscription status and cancelling automatic renewal before the next billing date if they do not wish to continue.

Where applicable, renewal reminders may be provided through available communication channels.


8. Upgrade to a Higher Plan

If an institution upgrades to a higher subscription plan, the additional amount payable may be calculated according to the applicable pricing and billing terms.

Any unused amount from an existing plan may or may not be adjusted against the upgraded plan depending on the applicable subscription terms.

Please contact SchoolMentor before upgrading if you require clarification about your specific subscription.


9. Downgrading a Plan

Customers may request to move to a lower plan where such an option is available.

A downgrade may take effect at the end of the current billing period.

Downgrading may require the institution to reduce its usage, student count, storage, branches, administrators, or other resources to meet the limits of the lower plan.


10. Data After Cancellation

After cancellation or expiry of a subscription, institution data may remain available for a limited period to facilitate account management, data export, or reactivation, subject to our applicable data-retention practices.

Customers are encouraged to export any information they need before their subscription expires.

After the applicable retention period, information may be deleted or anonymized in accordance with our Privacy Policy and applicable legal requirements.


11. Data Migration Services

SchoolMentor may provide optional data migration services for transferring information from spreadsheets, legacy systems, or other platforms.

Migration fees may depend on:

  • Number of records
  • Data format
  • Number of files
  • Data quality
  • Data cleaning requirements
  • Complexity of migration
  • Custom requirements

Once migration work has commenced, migration service fees may be non-refundable, except where required by applicable law or where otherwise agreed in writing.


12. Custom Development & Integration

Custom development, integrations, custom reports, branding, or other professional services may be separately quoted.

Because these services may involve dedicated development or implementation work, payments for custom services may be non-refundable once work has commenced, except where otherwise agreed in the applicable service agreement or required by law.


13. Communication Charges

Where SchoolMentor provides or integrates with SMS, WhatsApp, email, OTP, or other communication services, additional usage-based charges may apply.

Third-party communication charges may be subject to the respective provider’s terms.

Unused communication credits may not be refundable unless specifically stated in the applicable plan or service agreement.


14. Payment Gateway Charges

Payments may be processed through third-party payment gateways.

Where a payment gateway, bank, or other third-party provider charges a transaction or processing fee, such charges may not be refundable where the provider does not return them.

Any refund will be processed subject to the payment method and applicable payment-provider procedures.


15. Refund Request Process

To request a refund, please contact SchoolMentor with the following information:

  • Institution name
  • Registered email address
  • Registered phone number
  • Subscription plan
  • Transaction/order ID
  • Payment date
  • Amount paid
  • Reason for requesting a refund

16. Refund Review

All eligible refund requests will be reviewed individually.

  • Payment records
  • Applicable terms
  • Applicable consumer and data-protection laws

A refund decision will be communicated to the customer after the review.


17. Refund Processing

If a refund is approved, it will generally be processed using the original payment method where technically possible.

The time required for the refunded amount to appear in the customer’s account may depend on:

  • Payment gateway
  • Bank
  • Card issuer
  • UPI provider
  • Other payment service provider

SchoolMentor cannot guarantee the exact time required by third-party financial institutions.


18. Taxes

Where applicable, refunds and tax adjustments will be handled in accordance with applicable tax laws and the relevant invoice/payment records.

Any applicable tax component may be treated according to the requirements of applicable law.


19. Enterprise Customers

Enterprise customers may be subject to separate commercial agreements, service-level agreements, implementation agreements, or subscription contracts.

Where a separate written agreement exists, the refund and cancellation terms contained in that agreement may take precedence over this general policy to the extent permitted by law.


20. Changes to This Policy

SchoolMentor may update this Refund & Returns Policy from time to time to reflect changes in:
